The Council for Education and Student Affairs reviews preparations for the second semester exams and emphasizes regulations for publishing online course materials

On Wednesday, April 15th, the seventh session of the Ain Shams University Council for Education and Student Affairs for the 2025/2026 academic year was held, chaired by Prof. Rami Maher Ghali, Vice President of the University for Education and Student Affairs. The session was attended by the council members: deans of faculties, vice deans for education and student affairs, external members, and Mr. Ibrahim Saeed Hamza, Assistant Secretary of the University for Education and Student Affairs.

At the beginning of the session, Prof. Rami Maher Ghali extended his congratulations to the Christian community on the occasion of the holidays. He also congratulated Prof. Mohamed Safi, former Dean of the Faculty of Law, and Prof. Mohamed El-Shafei, Vice Dean of the Faculty of Law for Education and Student Affairs, on their selection as members of the Legal Sciences Committee of the Supreme Council of Culture in its new formation for 2026.

Dr. Samar Ragab Hafez was also congratulated on her appointment as Director of the University's Students Disability Service Center, with the Council wishing her continued success in her new role.

The Vice President of the University emphasized the need to develop the Center's vision and enhance its direct interaction with parents and students, thereby contributing to its effective role in a manner befitting the University's name and standing. He also stressed the importance of activating the Center's role across all university faculties, reflecting the University's ongoing commitment to supporting and empowering students with disabilities and providing an inclusive learning environment that offers them equal opportunities for learning and participation in university life. This commitment underscores the University's significant focus on this group, as it is one of the Egyptian universities most inclusive of students with various disabilities.

Prof. Rami Maher Ghali emphasized the necessity for the deans of student affairs to take all necessary decisions and measures, stressing the importance of immediately reporting any incidents or events occurring within the faculties to the Vice President for Student Affairs and the Student Affairs Sector as soon as they happen. This ensures swift action and effective follow-up.

The council reviewed the preparations for the start of the second semester exams for the 2025/2026 academic year, aiming to guarantee the smooth conduct of the exams and provide a suitable environment for students in the examination halls. Prof. Rami Maher Ghali emphasized the need to finalize and announce the exam schedules to students well in advance, in accordance with the academic calendar and taking into account holiday breaks. He also stressed the importance of adhering to the regulations governing the examination process to ensure its organized conduct and the principles of transparency and fairness among students. Furthermore, he directed that invigilators be provided with all exam instructions and emphasized the importance of high-quality performance in serving the students.

The meeting also addressed equipping examination committees and halls with all necessary resources, coordinating with faculty medical centers to ensure readiness during the examination period, preparing examination control centers, and verifying adherence to exam paper specifications.

The Vice President of the University emphasized providing full support to students with special needs and students with disabilities, ensuring all necessary accommodations are made available to them during the examination period in coordination with the Students Disability Service Center.

During the meeting, university faculties were reminded of the necessity to adhere to the regulations of the Center for Developing Educational Strategies and Research, approved by the University Council on February 24, 2025.

In the context of the university’s commitment to preserving intellectual property rights, ensuring the integrity of the procedures regulating the publication of electronic courses, and protecting the legal rights of the faculties, the university, and the authors, in order to ensure the availability of scientific content in accordance with the approved regulations, the council stressed the importance of faculty members signing the electronic course declaration, and that no electronic book may be uploaded to the university library unless the author of the book has signed the declaration, considering this as a fundamental procedure to guarantee the right of the faculty and the university to publish and make the book available through the university library, noting that this declaration was approved by the decision of the university council in its meeting held on November 30, 2025.

In another context, the Council stressed the need for the administration of the university’s faculties and those in charge of the affairs of international students to adhere to the decision of the University Council issued in its session held on December 29, 2025, which stipulated that no official correspondence should be issued to embassies, cultural attachés or any external entities related to international students studying at the university by the colleges or any other entities within the university, and that all such correspondence should be limited to the office of the Vice President of the University for Education and Student Affairs, and the International Students Department in the International Relations Sector only, in order to preserve the unity of the competent authority and ensure the integrity of procedures and the accuracy and validity of the information circulated.

It was also emphasized to all university colleges that in the event of any correspondence from embassies or cultural attachés regarding international students, it should be directed directly to the office of the Vice President of the University for Education and Student Affairs and the International Students Department in the International Relations Sector, so that the competent authority may study the matter and respond to it in accordance with the approved procedures.

The session also reviewed the mechanism for issuing academic certificates electronically through the UMS team and followed up on the completion of the accreditation of e-learning course contracts for the university's faculties in the medical sector and the faculties of Science, Engineering, and Computer Science and Information, in light of the decisions and guidelines issued by the Supreme Council of Universities, as well as the relevant decisions of the University Council.

The minutes of the Council of Education and Student Affairs meeting held on March 24, 2026, were also approved during the session, as were the minutes of the Standing Committee of the Council of Education and Student Affairs meeting held on April 7, 2026.
